I am dealing with a situation that requires me to come up with some way to remove the entries/items from a dropdown list after it has been selected or picked once previously. The reason to do this is so that the person doing the survey does not have that entry available to pick it again (either by mistake or on purpose). For example: Survey has a drop down list with 3 options: A, B, C - I arrive at Location 1 and Pick A. - I arrive at Location 2; my options now should be B and C only. - I arrive at Location 3; my option now should be C only. Has anyone done this before? In my case, the people using the surveys are not tech savvy at all; I cannot ask them to refresh new copies of surveys every day or every so often. They also will have a propensity of making mistakes when it comes to picking from dropdown list, especially in case where the dropdown list contains items that look very similar. Looking forward to some guidance in this regard.

The documentation states the following (under the Sign in and Access your surveys section): "Only the user account that published the survey has access to it in the Survey123 website initially. Regardless of the authorization levels of the member accounts you set up in the Create a group exercise, these accounts will be unable to access it." This leads me to ask about something that I am unclear on: It seems that when I, as the organization's Admin, create and publish the survey and change ownership of those surveys to another member within my organization, I actually do not see those surveys under "My Surveys". So: Is this by design where only the Owner of the Survey Form and Feature Service can see and analyze these surveys? If it is by design, then perhaps the documentation needs to be altered to state something to the effect of: "Only the user account that published owns the survey has access to it in the Survey123 website initially". If not by design, then what could be causing this issue? Lastly, if it is by design, then what would be the recommended workflow for publishing the surveys where I need to be able to not just publish them and change the ownership to another member, but I also want the ability to still be able to view those surveys in Hub and be able to analyze results? in this case, would I: a) publish the Surveys; b) go to Survey123 hub and configure the "Analyze" settings under Collaborate; c) change survey's owner? @Craig: I do not necessarily have a law enforcement or public safety example to share yet (i got plenty in other areas), I do know of one government agency that has standardized on Survey123 and Collector for issues citations for hunting violations or litter. A response submitted from either of these two is treated as an official government record. Hope this helps.

I have created a survey for inspection of various business entities within a city. Common attributes are: City, Business Entity Name, geopoint or QRCode, Business Entity Address, Business Entity License Number, etc. Since we have a very large number of business entities, we are employing External Lists for Business Entities and another one for Business Entities Address. The workflow is as follows: Select Ciy (e.g. Happyville): All the Businesses in Happyville are loaded to a Business Name Select_External list > Select a Business > The Address of that Business is then selected from another Select_External list While this workflow is working fine, I’ve come across a few issues where I need some guidance as to how to set up the Survey XLSform optimally. Here you go: Is there any way we can populate multiple controls based on a selection? For example, when I select a Business Name, I would like the Address as well as the License Number populated at the same time. Right now, when I select a Business Name (already a Select_External list with three columns: Name, label, city), I then search in another select_external list for the address. Is there any way I can simplify this process because right now, I’ve to maintain two different select_external lists – one for the business name and the other for the address – leading to quite a bit of duplication and unnecessary additional data impacting survey loading time. Related to the previous question, is there any way that in a cascaded select case, the value is selected by default? For example, when I select a Business Name, I search for the Address in another select_external list and display it as a radio button that is not selected by default. Ideally, I would like to show the address just as a text but I guess that is not possible due to cascading; however, is there a way that the address is actually selected by default? Some of my questions in the survey are really short with short answers, for example: Floor Number, office number, etc. Is there any way to show a question and the text box for answer on the same line instead of separate lines? I’m attaching a sample survey with this email. I’ve included about ten rows of data in select_external so that you can play with the survey. Once you play with the survey a bit, my questions above will start making more sense…. Looking forward to your feedback.

Jeff, I recently did something very similar. A couple of questions for you first though: Are you assigning the restaurants inspections to individuals/inspectors? How is the work assigned? What is the frequency of updates? As for your question "In discussions of what the form would look like it was mentioned that it would be handy to enter the permit number and have the header info pre-populated (establishment name, address etc.)." I agree that this information should be pre-populated. That is what we did in our case. Attached is a very nice XLSform that I had prepared for my project and I bet you can use it as a starting point for your work. It already has all the info - business license number, name, address - organized in lists to facilitate a nice survey for you. It also includes validation and constraints. Take a look and let me know your thoughts. P.S. I created my lists as External Choices since I've a large number of businesses (over 5K) and the Choices worksheet couldn't handle that large of a volume.

Just curious if someone has been asked to provide a status or a progress bar for log form survey, for example, 50 or more questions. I am asking around about this before deciding to jerry-rigging something on my end. The requirement bore from the fact that with equivalent paper form surveys, you know how many questions are remaining (a fact that is sometimes hidden in Survey123 forms when you have dependencies) or how many more pages to go... Interested in hearing community's feedback. Ever wondered how many external choices can you have before Survey123 maybe chokes on you? Well I am here to tell you that I have been consistently able to publish surveys with anywhere between 70K-120K rows/records in the External choices. Now before you start calling me names or brand me an outcast, I am myself not particularly proud of the fact that we had to do it but I had a unique situation where it had to be done and it does work with occasional failure. The survey app works fine too after the initial download (which can take a while - I've seen 15-45 seconds survey load time for 70K+ rows). This is not something I will proudly promote but doing this is definitely possible if someone needs to do it in a pinch. I thought it was important to share this not-too-exciting achievement .
