Overview

Fleet management is a capability in Site Scan Manager that allows drone program managers to stay informed of their organization’s flight activities, pilots, and assets. Having an accurate record of the drone fleet’s history is important to manage the lifecycle of drones and batteries, ensure pilots are current on their certifications, and predict future hardware and personnel needs. 

While Site Scan Manager automatically stores drone flights that take place in the Site Scan Flight app, new Site Scan organizations want a way to import their historical fleet management data to ensure all fleet records are current and consolidated in one location. With the Batch Import feature, new and existing Site Scan organizations can import external fleet data, so that drone program managers can have a complete view of their fleet management data and history. 

Regardless of where your data originates, you can import it to Site Scan if it has the required fields. 

Import requirements

For a smooth import process, it is important to prepare your fleet management data to match the expected fields and value formats. Start by downloading the CSV templates to preview an example:

Aircraft and battery import

You only need one of the following fields to import aircraft or batteries. Values for each must be unique: 

  • internalSerial (sometimes known as the Flight Controller Serial Number) 
  • name

Flight import

Flights require the following fields: 

  • takeoffTime 
  • landingTime (required if no duration) 
  • duration (required if no landingTime) 
  • pilot 
  • aircraft

Matching aircraft, batteries, and pilots to flights

When importing flights, it’s important to maintain a relationship between the flight, aircraft, battery, and pilot. This is possible during batch import by referencing these entities for each flight using a unique identifier. Refer to the documentation for guidance on how to prepare your data for optimal matching, and how to complete matching steps during import. 

Getting started

The batch import workflow consists of several steps. Follow these guidelines for best results while importing your data: 

  1. Review the documentation. 
  2. Prepare your data. Download the templates and align your data to the template or other acceptable value formats.  
  3. Open batch import in Site Scan from the Fleet Management section of the app (click Fleet Management in the left sidebar, then + Add New > Batch Import). 
  4. Upload CSVs. 
  5. If importing flights, complete matching steps. 
  6. Review data. 
  7. Submit import. 

Other considerations

Keep in mind the following during the batch import process. 

  • All imports are final and cannot be undone. Confirm your data prior to submitting to ensure accuracy. 
  • Batch import impacts your entire Site Scan organization’s fleet management. 
  • Data that is formatted incorrectly will result in errors during upload or submission. You might need to reformat your CSVs prior to import to ensure you have all required fields and that values are in the expected format. 
  • Flights must reference an aircraft. If importing flights, all aircraft used to complete the flights must either already exist in Site Scan or be imported along with the flights.
